The incident usually goes something like this: a business owner pulls together a logo file from an old email, drops it into a Word document, exports it as a PDF, and sends it off to the printer. A few days later, the finished pieces arrive, and the logo looks like it was photographed through a foggy window. The colors are off. There’s a white box around the artwork where there shouldn’t be. And now there are 500 brochures that nobody wants to hand out.
File problems are one of the most common (and most avoidable) sources of frustration in the print process. They delay projects, add cost, and occasionally result in printed pieces that have to be scrapped entirely. The good news is that once you understand what print files actually need, avoiding these problems becomes second nature.

The Resolution Problem: Why Your Logo Looks Fuzzy
Resolution is the single most common file issue print shops encounter, and it trips up experienced business owners just as often as first-timers. Here’s the core of it: screens display images at 72 to 96 dots per inch, which is low enough that even a mediocre image can look sharp on a monitor. Print requires 300 dots per inch at the final output size. If you’re working from a file that was designed for screen use, there’s a very good chance it’s not going to hold up on paper.
The frustrating part is that you often can’t tell by looking at the file on your screen. A low-resolution image can appear perfectly sharp on a monitor and turn into a blurry mess the moment it hits paper. The fix is to work from the original high-resolution file — ideally a vector file like an .AI or .EPS, which scales to any size without losing quality — rather than a JPEG or PNG pulled from somewhere online.

Bleeds and Margins: The Invisible Lines That Matter
If you’ve ever received a printed piece where the background color stops just short of the edge and there’s a thin white strip along one side, you’ve seen what happens when a file doesn’t have a proper bleed. This is especially common with business cards, postcards, and flyers — anything that’s trimmed after printing.
Here’s why it happens: printing and trimming are two separate mechanical processes, and the trim line isn’t always perfectly precise. To account for this, designers extend the background color or image slightly beyond the intended edge of the piece — typically an eighth of an inch on all sides. That extended area is called a bleed. When the piece is trimmed, even if the cut is slightly off, there’s no white gap because the background extends past the cut line.
The flip side of this is the safe zone — keeping important content like text and logos slightly away from the trim edge so they don’t risk getting cut off. As a general rule, nothing critical should sit within an eighth of an inch of the trim line. It sounds like a small thing, but a phone number that gets half-clipped at the edge of a postcard is a real problem.
Color Mode: RGB vs. CMYK and Why It Matters
Screens produce color by combining red, green, and blue light — this is called RGB color mode. Commercial printing produces color by layering cyan, magenta, yellow, and black inks — this is CMYK. The two systems don’t produce identical results, and when a file designed in RGB goes to a CMYK printer without conversion, the colors can shift in ways that range from subtle to genuinely jarring.
Blues are notorious for this. A vivid royal blue on screen can print as a noticeably more muted, slightly purple shade if the CMYK conversion isn’t handled correctly. Brand colors — the specific hex codes or Pantone values that define how your business looks — are particularly vulnerable to this shift because any deviation from the intended color is immediately noticeable to anyone who knows your brand.
If color accuracy matters to you, the safest approach is to either work with a designer who builds files in CMYK from the start, or provide your print partner with your specific Pantone color values and ask how they’ll be matched in the printing process. A good print shop will be transparent about what to expect and can often provide a proof before the full run is printed.
Fonts: The Sneaky Problem Nobody Sees Coming
Fonts are one of those file issues that can completely blindside someone who’s never encountered them before. Here’s the scenario: you design a piece using a font that’s installed on your computer. You send the file to a printer. The printer’s system doesn’t have that font installed, so it substitutes a default font instead—often Times New Roman or Arial. Your carefully chosen typography gets replaced, the layout shifts, text overflows, and the whole design falls apart.
The standard solution is to outline your fonts before sending the file — a process that converts the text into vector shapes, so the font itself is no longer needed to render the design. Most professional design programs, like Adobe Illustrator and InDesign, have a straightforward way to do this. If you’re working with a designer, it’s worth confirming that fonts are outlined before the file is sent for print.
Alternatively, sending a PDF with fonts embedded achieves a similar result. PDFs are generally the safest format for print-ready files because they lock in the design as it appears on your end, fonts and all. If you’re ever unsure what format to send, PDF is almost always a safe default.
